WorkOrder Privacy Policy

BuilderBoard Technologies LLC, doing business as WorkOrder ("WorkOrder," "we," "us," or "our"), operates the WorkOrder platform at getworkorder.com and our related applications and services (the "Platform"). This Privacy Policy explains how we collect, use, disclose, and protect personal information, and the privacy rights you may have. It applies to all Users of the Platform and to individuals whose information we process in connection with the Platform.

This Privacy Policy is incorporated into our Terms of Service. By using the Platform, you acknowledge this Privacy Policy.


1. Information We Collect

We collect the following information directly from you, automatically through your use of the Platform, and from third-party sources.

Account information. When you register, we collect your name, email address, phone number, role (agent, contractor, homeowner, property manager, or investor), and brokerage or company name where applicable.

Profile and branding data. Agents may provide a headshot, logo, accent color, DRE license number, and tagline. Contractors may provide license numbers, trade categories, business address, and service areas.

Inspection documents and property data. Agents and other Demand Users may upload inspection reports (typically PDFs), property addresses, and related documents. These materials are processed by automated and AI tools to extract repair items and generate summaries, and are stored in our cloud infrastructure. These documents may contain information about third parties (such as homeowners, sellers, or other occupants). See Section 2 below regarding information about people who are not Users.

Payment information. Payments are processed by Stripe. We do not store your full card number or banking credentials; Stripe processes that data under its own privacy policy. We retain limited billing records such as transaction amounts, dates, and the last four digits of a card.

Communications. We retain records of messages and notifications sent through the Platform between Users, and communications between you and us (such as support requests).

Usage, device, and location data. We automatically collect information about how you interact with the Platform, including pages visited, features used, actions taken, IP address, device and browser type, and approximate location derived from IP address or the service-area information you provide.

Cookies and similar technologies. See Section 8.


2. Information About People Who Are Not Users

People named in uploaded documents. Inspection reports and related documents uploaded by Users may contain personal information about individuals who do not have a WorkOrder account, such as homeowners, sellers, or occupants (for example, names and property addresses). We process this information solely to provide the requested services (such as extracting repair items, generating reports, and routing job details to matched contractors). If you upload a document containing another person's information, you represent that you have the authority and any necessary consent to do so. If you believe your information appears in a document on the Platform, contact us at privacy@getworkorder.com.

Business and outreach contacts. We may obtain professional contact information (such as name, business email, company, and role) about property managers, agents, and similar professionals from third-party data providers and public sources in order to introduce them to the Platform. If you are such a contact and wish to exercise your privacy rights or opt out of outreach, contact us at privacy@getworkorder.com or use the opt-out instructions in any message we send.


3. Categories of Personal Information (California Disclosure)

For the twelve months preceding the date of this Policy, we have collected the following categories of personal information, as defined by the California Consumer Privacy Act (CCPA), as amended by the CPRA:

We do not use or disclose sensitive personal information for purposes other than those permitted under the CCPA, and we do not use it to infer characteristics about you. As a result, the "right to limit use of sensitive personal information" has limited application to our practices.


4. SMS Communications

WorkOrder may send SMS (text message) notifications as part of the Platform. These may include new job lead alerts in your service area, quote requests and updates, work order status notifications, and account or billing updates.

Opt-In. SMS notifications are sent only to Users who have explicitly opted in (for example, by checking the SMS consent box during onboarding). By opting in, you agree to receive these messages from WorkOrder. Consent is not a condition of purchase.

Opt-Out. You may opt out at any time by replying STOP to any message. You will receive a one-time confirmation, after which no further SMS messages will be sent unless you opt back in.

Help. Reply HELP to any message for assistance.

Message Frequency & Rates. Message frequency varies based on job activity in your service area. Standard message and data rates may apply depending on your carrier and plan.

Carriers. WorkOrder is not responsible for delayed or undelivered messages. Carrier support may vary, and carriers are not liable for delayed or undelivered messages.

5. How We Use Your Information

  • To provide, operate, secure, and improve the Platform;
  • To match contractors with job leads based on trade, location, and availability;
  • To process and analyze inspection documents and generate branded reports, scopes, and lead summaries;
  • To process payments and manage subscriptions and lead balances;
  • To send transactional communications (account confirmations, lead notifications, payment receipts, service messages);
  • To send product updates and marketing communications, from which you may opt out at any time;
  • To create de-identified or aggregated data, which we may use for any lawful purpose, including improving our features and models;
  • To detect, prevent, and respond to fraud, abuse, security incidents, and violations of our Terms; and
  • To comply with legal obligations and enforce our agreements.

6. How We Share Your Information

With contractors. When a Demand User submits a work order or quote request, relevant property and job details are shared with up to three (3) matched contractors.

With transaction parties. Branded inspection reports generated through WorkOrder may be shared by the agent with homeowners, buyers, attorneys, lenders, and other parties to a real estate transaction.

With service providers. We share data with trusted providers that perform services on our behalf and are contractually bound to protect it, including: Supabase (database and storage), Vercel (hosting), Stripe (payments), Resend (transactional email), Twilio (SMS), Anthropic (AI processing of documents and content), Sentry (error monitoring), and providers used for outreach, analytics, and infrastructure. These providers act as our processors and are not permitted to use your information for their own purposes.

For legal and safety reasons. We may disclose information if required by law, subpoena, court order, or government request, or where we believe disclosure is necessary to protect rights, safety, or property, or to investigate fraud or violations of our Terms.

In a business transfer. If we are involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction, subject to this Policy.


7. Sale and Sharing of Personal Information

We do not sell your personal information for money.

"Sharing" under the CPRA refers to disclosing personal information for cross-context behavioral advertising (for example, advertising-platform cookies that follow you across other websites). If and when we use such advertising technologies, we will disclose that here and provide a "Do Not Sell or Share My Personal Information" control, and we honor opt-out preference signals such as the Global Privacy Control (GPC). As of the effective date above, we do not share personal information for cross-context behavioral advertising. We do not knowingly sell or share the personal information of individuals under 16 years of age.


8. AI Processing

We use artificial intelligence services, including the Anthropic API, to analyze inspection reports and generate summaries, scopes of work, and cost estimates. Document content is processed to provide these services and is not used by us or our AI provider to train third-party foundation models for unrelated purposes. AI-generated outputs are estimates provided for informational purposes only, as described in our Terms of Service.


9. Cookies and Tracking

We use cookies and similar technologies to keep you signed in, remember preferences, measure and analyze usage, and improve the Platform. You can control cookies through your browser settings; disabling some cookies may affect functionality. Where required, we honor browser-based opt-out signals such as Global Privacy Control.


10. Data Retention

We retain personal information for as long as needed to provide the Platform, comply with our legal obligations, resolve disputes, and enforce our agreements. In general:

  • Account information is retained while your account is active and for a reasonable period afterward.
  • Inspection documents and generated reports are retained for up to twenty-four (24) months after upload, unless you request earlier deletion or we are required to retain them longer.
  • Billing and transaction records are retained as required by tax, accounting, and legal obligations.
  • Communications and logs are retained for as long as reasonably necessary for operational, security, and legal purposes.

When information is no longer needed, we delete or de-identify it.


11. Security

We implement administrative, technical, and physical safeguards, including encrypted transmission (TLS), encrypted storage, access controls, and row-level security on our database. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.


12. Your Privacy Rights

Depending on where you live, you may have some or all of the following rights:

  • Right to know / access the personal information we have collected about you and how we use and disclose it.
  • Right to delete personal information we have collected, subject to exceptions.
  • Right to correct inaccurate personal information.
  • Right to opt out of any sale or sharing of personal information.
  • Right to limit the use of sensitive personal information (see Section 3).
  • Right to non-discrimination for exercising your rights.
  • Right to data portability (to receive a copy of your information in a portable format).

How to submit a request. You may submit a request in either of two ways: (1) email privacy@getworkorder.com, or (2) use the request form or contact options at getworkorder.com/support.

Verification. To protect your information, we will take steps to verify your identity before responding, which may include confirming information associated with your account.

Authorized agents. You may use an authorized agent to submit a request on your behalf; we may require proof of authorization and verification of your identity.

Timing. We will respond within the timeframe required by applicable law (generally 45 days, with one permitted extension where allowed).

California residents may also request information under California's "Shine the Light" law regarding disclosures to third parties for their direct marketing purposes.


13. Children's Privacy

The Platform is not directed to children under 18, and we do not knowingly collect personal information from minors. If you believe a minor has provided us information, contact us at privacy@getworkorder.com and we will delete it.


14. Third-Party Links and Services

The Platform may link to or integrate with third-party websites and services (such as Stripe). We are not responsible for the privacy practices of those third parties, and their use of your information is governed by their own policies.


15. Data Location

We operate in the United States, and your information is processed and stored in the United States. If you access the Platform from outside the United States, you understand that your information will be processed here.


16. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a notice on the Platform and updating the "Last Updated" date. Your continued use of the Platform after changes take effect constitutes acceptance of the updated Policy.
